How the time card is calculated

  1. For each day, subtract the start time from the end time. If the end time is earlier, the shift is treated as running past midnight.
  2. Subtract the unpaid break in minutes.
  3. Add all days together and convert to decimal hours (minutes ÷ 60).
  4. Hours over 40 in the week are paid at 1.5 times the regular rate, if overtime is on.

5 0.08 35 0.58
10 0.17 40 0.67
15 0.25 45 0.75
20 0.33 50 0.83
25 0.42 55 0.92
30 0.50 60 1.00

Worked example

Working 9:00 AM to 5:30 PM with a 30-minute unpaid break Monday to Friday, plus 9:00 AM to 1:00 PM on Saturday, adds up to 44 hours. At $20 an hour, that is 40 regular hours ($800) and 4 overtime hours at $30 ($120), a total of $920 before tax.

Overtime rules

Under the US Fair Labor Standards Act, non-exempt employees must be paid at least 1.5 times their regular rate for hours over 40 in a workweek. Some states add daily overtime: California, for example, also requires overtime after 8 hours in a day. Overtime rules in the UK, Canada and Australia are set by contracts, provinces or awards, so check your agreement.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the start time from the end time for each day, take off unpaid breaks, and add the days together. The calculator does this and converts the total to decimal hours.

How do I convert 7 hours 45 minutes to decimal?

Divide the minutes by 60: 45 ÷ 60 = 0.75, so 7 hours 45 minutes is 7.75 hours.

Are breaks paid?

In the US, short breaks of 5 to 20 minutes are generally paid, while meal breaks of 30 minutes or more when you are fully relieved of duty can be unpaid. State laws may add requirements.

When does overtime start?

Under federal US law, after 40 hours in a workweek for non-exempt employees. Some states also have daily overtime.

Can I use this for night shifts?

Yes. If a shift ends earlier on the clock than it starts, the calculator assumes it ran past midnight.
